Greeting (Salutation):

Formal:

  • Dear Mr./Ms./Mx. Last Name: This is the safest option for most formal letters, especially when addressing someone you don't know well.
  • Dear Dr./Professor Last Name: Use this if you're addressing someone with a title like doctor or professor.
  • Dear [Title] [Last Name]: If you know the recipient's title but not their gender, use this option (eg, Dear Manager Smith).

When you don't know the receipt:

  • "To Whom It May Concern": This phrase is considered outdated and impersonal. Avoid if possible.
  • Use title-based greetings: Opt for greetings like “Dear Hiring Manager, ” “Dear Admissions Committee, ” or “Dear Customer Service Representative. ” This shows you've made an effort to address the relevant party.
  • Department-specific greetings: If addressing a specific department, use “Dear [Department Name] Team. ”

Semi-formal:

  • Dear [First Name] [Last Name]: This is appropriate for colleagues, acquaintances, or people in a professional setting where you have some familiarity.
  • Hello [First Name], or Hi [First Name], are acceptable if you have a more established relationship.

When you don't know the receipt:

  • Consider the context: If you're writing to a small organization or have some context about the recipient's role, use a greeting like "Dear [Department Name] Staff" or "Dear [Event Organizer]. "
  • Generic greetings: If unsure, use "Dear Sir or Madam" cautiously, as it can feel impersonal. Consider “Dear Reader” for open letters or “Dear [Organization Name] Team. ”

Informal:

  • Hey [Nickname], or Hi [Nickname], are suitable for close friends and family.
  • Yo! or What's up? are very casual greetings best used with close friends in informal settings.
